FitMapr Privacy Policy

FitMapr is a fitness application that helps you understand your training, save gym equipment, create routines and record workouts.

This privacy policy explains what personal information FitMapr uses, why we use it, who we share it with and the choices you have.

1. Who is responsible for your data?

FitMapr is operated by Roberto Basile, who is the data controller responsible for your personal information.

2. What information does FitMapr use?

The information we process depends on how you use FitMapr.

Account information

When you create an account, we process information such as your email address and the information needed to authenticate and manage your account.

We may also hold records of your privacy choices, such as whether you have accepted or declined optional analytics and when that choice was made.

Your FitMapr data

When you use the app, we may process information you choose to create or save, including:

We use this information to provide FitMapr and to save your activity between sessions.

Equipment scanner images

If you choose to use the equipment scanner, the photograph you select is sent to OpenAI so that the equipment in the image can be identified.

FitMapr does not intentionally retain the photograph after it has been submitted for recognition. OpenAI processes the image under its applicable API data-processing arrangements.

Because photographs may contain other people, text or information about your surroundings, please avoid including unnecessary personal information or other people in scanner images where practical.

Analytics

Behavioural/product analytics are currently disabled in this build of FitMapr. FitMapr therefore does not currently collect new behavioural analytics about how you use the product.

Historical analytics created before analytics was disabled may still exist until they are deleted in accordance with the applicable privacy or account-deletion process.

If optional analytics are introduced or re-enabled in a future version, this policy and the app will be updated as necessary before that processing begins.

3. Why we use your information

We use your account and FitMapr data because it is necessary to provide the service you request.

Our lawful basis under UK data-protection law is performance of a contract: without processing the account and app data needed for the features you use, we cannot provide those FitMapr features to you.

For example, we need to store a saved gym if you want it available when you next sign in, and we need to process a scanner image if you ask FitMapr to identify equipment from that photograph.

Where optional analytics are used in the future, they will not be processed on this contractual basis. They will require the applicable privacy choice or consent before collection begins.

We do not sell your personal information.

4. Who processes your information?

We use a small number of service providers to operate FitMapr:

Supabase provides authentication, database and related backend infrastructure.

Netlify provides hosting and server infrastructure used to operate FitMapr.

OpenAI processes images submitted through the equipment scanner for equipment recognition.

These providers process information on our behalf under their applicable contractual and data-processing arrangements.

We may also disclose information where required by law or where necessary to establish, exercise or defend legal rights.

5. International transfers

Some of our service providers process personal information outside the United Kingdom and European Economic Area.

In particular, Netlify processes some FitMapr data in the United States. Other service providers may also process information internationally as part of providing their services.

Where required, these transfers are protected using recognised legal safeguards, including the Standard Contractual Clauses (SCCs) and the applicable UK Addendum or other UK international-transfer mechanism.

6. How long do we keep your information?

We do not intend to keep identifiable personal information for longer than necessary.

Account and workout data are kept while your account remains active and while needed to provide FitMapr. Our target for inactive accounts is deletion after 24 months of authenticated inactivity, following 30 days' advance notice. This automated inactivity-deletion process is not yet implemented, so we do not currently rely on it to delete inactive accounts automatically.

Behavioural analytics, if enabled in a future version with the appropriate privacy choice or consent, are intended to be retained for a maximum of 14 months from each event's creation, unless they are deleted earlier following withdrawal of consent.

Consent records may be retained while your account exists so that FitMapr can record and respect your privacy choices. These records are deleted when your account is deleted.

Infrastructure and security logs maintained by our service providers are retained according to the relevant provider's service configuration and legal obligations.

FitMapr does not intentionally retain photographs submitted to the equipment scanner. OpenAI may process and retain scanner data according to its applicable API terms and data-processing arrangements.

Information that has been genuinely anonymised so that it can no longer identify or be linked to an individual may be retained for longer.

7. Deleting your FitMapr account

You can delete your account directly from Profile → Delete account inside FitMapr.

Account deletion is immediate and irreversible.

8. Your data-protection rights

Depending on the circumstances and the lawful basis applying to the processing, UK data-protection law gives you rights over your personal information. These may include the right to:

Where processing is based on consent, you also have the right to withdraw that consent. Withdrawal does not make processing carried out before withdrawal unlawful.

You also have the right to complain to the Information Commissioner's Office (ICO), the UK's data-protection regulator. You do not have to contact FitMapr before making a complaint.

9. Changes to this policy

FitMapr is still being developed, so the way we use personal information may change as the product develops.

If we introduce a new use of personal information that materially affects this policy, we will update this notice and, where required, tell you before the new processing begins.
